Site Service Rate Update Batch
This tool is used to modify a batch by amount or percentage, export to excel, import back in, and then post the new batch. You can also void or close an account or batch.The Rate Update Batches tool is used to mass update rates for sites by either a percentage or an entered value amount. This tool offers two options to create a batch rates are updated in: Site Service Batch or Site Service Charge Batch. Site Service Batch is used to create a batch for sites receiving recurring services. Site Service Charge Batch is used to create a batch for sites receiving one-time charges. After a batch has been created it will display on the Rate Update Batches screen with an 'Open' status. Color coding is used to identify batch status using the following colors:
Open = White
Green = Posted

Field Descriptions
Modifications | Descriptions |

Change Type | Modify the amount Increase or decrease rates by percentage or amount. Modify what amount? |
Amount | Modify Indicates the amount by adding a new amount based on selected Change Type. This sentence needs clarity Example: The adjusted rate amount. If percentage is selected for the Change Type, enter the % the rates should be increased…continue on for the other option in the Change Type field so they understand how these two fields work together. |
Export | This is to export this batch into excel to make necessary changes. This is a very passive sentence structure. Looking for active when writing descriptions. |
Import | This allows to import matching information back into the batch. What does this mean? Why would they import? What’s the purpose of this option? These are questions you need to be asking as you write to provide the reader a full understanding of how to use features of a tool. |
Post | Once the updates have been exported and imported back in again, select to post. - you are providing a process here, the process is in your section below. In this you need to capture exactly what that Post button does. |
Void | This is for voiding a matching percentage or amount. - Don’t start a description off with “this is for”. This description is also unclear. |
Close | This is to you to close the batch for a specific amount. Don’t start a description off with “this is for” |
Applying Rate Change to Batch
Select batch and double click.
Select which accounts you would like to apply the rate change for.
Select the Change Type and
thenenter the amount or percentage of the adjusted rate and select Apply.Export to Excel spreadsheet to make proper adjustments. - is this required or optional - call that out otherwise you may be telling the reader to do something they don’t need to do.
Import spreadsheet back in to apply changes. Same as comment above
Select post batch with applied changes. Capitalize Post. Also, the button is only called Post and not ‘Post Batch’. You have to be exact here.

Apply a Rate Change to Multiple Accounts

Double click selected service in the batch.
Select the services you would like to apply rate changes to in the batch.
Select the Change Type rates will be adjusted by. Options are either: .
Amount - Dollar amount
Percentage - Percentage of current dollar amount
Enter the Amount of the change.
Increase Rate: Enter a positive value in the Amount field
Reduce Rate: Enter a negative value in the Amount field
Select Apply when finished.
Select Post and the new rates will be posted to the accounts.
